Privacy Notice
How Genesis CTE collects, uses and protects personal information submitted through this website.
Last updated: 6 June 2026
This privacy notice explains how Genesis CTE Ltd ("we", "us", "our") handles personal information collected through this website. It covers the website only — if you are a parent, carer, placing authority or member of staff, separate, more detailed privacy information applies to those relationships and is provided directly.
This website is not a secure channel for sensitive case information. Please do not submit detailed personal information about a child or young person through our online forms. Our referral form asks for initials and minimal detail only; we will arrange a secure route for anything further.
Who we are
We are Genesis CTE Ltd, a company registered in England and Wales (company number 11287784), with registered office at Units 2 & 3 The Hawthorns, Hawthorn Lane, Staunton, Gloucestershire, GL19 3NY. We are the data controller for personal information collected through this website.
You can contact us:
- by phone on 01452 849565;
- by email at info@genesiscte.co.uk; or
- by writing to us at the registered address above.
What we collect, and why
We only collect personal information that you choose to give us through this website. The main ways are our forms:
| When you… | We collect | Why (purpose) | Lawful basis |
|---|---|---|---|
| Use the contact form | Your name, email, phone (if given), your message, and your IP address. | To respond to your enquiry and to protect the form from spam and abuse. | Legitimate interests (responding to you and keeping the site secure). |
| Use the referral form | Your name, organisation, email, phone (if given); the young person's initials and any minimal detail you provide; any referral document you attach; and your IP address. | To receive and respond to referrals from placing teams, and to protect the form from spam and abuse. | Legitimate interests, and the performance of our care services. Where the information concerns a child, we handle it with additional care. |
We may also collect limited technical information (such as your IP address and, with your consent, analytics about how the site is used). See our Cookie Policy for detail.
Why we store IP addresses
When you submit a form, we record the IP address it was sent from. We do this to protect the forms against spam, automated abuse and misuse, and as a record that a submission was made. We do not use it to identify you personally beyond that purpose.
How long we keep it
- General enquiries (contact form): kept for up to 12 months, then deleted, unless your enquiry becomes part of an ongoing matter.
- Referrals: kept for longer than enquiries, in line with our safeguarding, regulatory and record-keeping obligations as a provider of care. Retention is reviewed in line with our records-retention policy.
Who we share it with
We do not sell, rent or trade your personal information. We do not share it for advertising. We may share information with trusted service providers who help us run the website and our email (for example, our hosting provider and Microsoft, who provide our email service) — only as needed, and under appropriate agreements. We may also disclose information where we are required to by law, or to protect the safety of a child or vulnerable person.
Keeping your information secure
This website is served over HTTPS. We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss or misuse, and we require any organisation that processes data on our behalf to do the same.
Cookies
We use only essential cookies to make the site work, plus — with your consent — analytics cookies. We do not use advertising cookies and we do not track you across other websites. Full detail is in our Cookie Policy.
Your rights
Under the UK GDPR and the Data Protection Act 2018, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information, where there is no good reason for us to keep it;
- object to, or ask us to restrict, our processing of your information;
- ask us to transfer your information to another organisation, where applicable;
- withdraw consent at any time, where we rely on consent.
To exercise any of these rights, please contact us using the details above. We will respond within the time limits set by law.
Complaints
If you have a concern about how we handle your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling their helpline on 0303 123 1113.
